Position Overview
We’re looking for a reliable and detail-oriented freelance professional to support our Finance team with day-to-day accounts payable, expense management, and financial admin tasks. This is a part-time, flexible role ideal for someone who is comfortable working independently, communicates clearly, and thrives in a remote-first environment.
Key Responsibilities
- Accounts Payable & Vendor Coordination
- Monitor the Accounts Payables email inbox
- Communicate with vendors regarding missing information, invoice/payment status, and other inquiries
- Process invoices through our bill processing system, ensuring correct approvals
- Match invoices with purchase orders (POs)
- Prepare vendor payments based on payment terms and internal policies
- Follow up with department heads for invoice approvals and other unresolved issues
- Expense & Credit Card Management
- Categorize corporate credit card transactions
- Follow up with employees to collect missing receipts via the expense management app
- Process employee reimbursement claims
- Documentation & Support
- Assist in gathering invoice copies and supporting documentation for grant claims, audits, or internal reporting
- Participate in basic bookkeeping and financial data management tasks
Candidate Profile
- At least 2 years of experience with Canadian or U.S. accounts payable, bookkeeping, or finance operations
- Consistently available across the week to handle time-sensitive tasks
- Reliable, organized, and detail-oriented
- Strong written communication skills and ability to work independently
- Comfortable working asynchronously in a remote environment
- Proactive mindset, with a genuine interest in improving workflows through automation and AI tools
- Experience with QuickBooks Online, Float or Ramp, Gmail, and Slack is a plus
- Proficient in English (spoken and written); French is a strong asset but not required
