Job Details

The Recruiting Coordinator will support the Recruitment & Staffing Team, performing administrative tasks. Requires strong analytical skills and independent judgment.

Duties Include:

  1. Recruiting Operations Support:
  2. Administering the FPI Careers email inbox.
  3. Creating new opportunity requests in UKG Recruiting.
  4. Generating general reports and queries, utilizing spreadsheets (MS Excel/Google Sheets).
  5. Producing recruiting metrics and ad-hoc reports (weekly, monthly, quarterly, yearly).
  6. Running audit reports.
  7. Maintaining the Recruitment & Staffing Workbook.
  8. Processing employee referral bonus programs and sign-on bonuses.
  9. Updating the Bonus Tracking Google Sheet.
  10. ATS System Administration Support:
  11. Assisting with ATS table, library, and template maintenance.
  12. Documenting system processes.
  13. Participating in system upgrades/patches.
  14. Offer Letter Process:
  15. Pre-Employment Screening Process:
  16. Launching background reports.
  17. Ordering drug screenings and OSHA questionnaires.
  18. Verifying WA driver's licenses.
  19. Tracking new hires' background process.
  20. Notifying new hires and hiring managers of progress.
  21. New Hire Onboarding Process:
  22. Hiring candidates in UKG Recruiting.
  23. Processing new employee information in UKG/sending credentials.
  24. Sending housing allowance packets (if applicable).
  25. Processing onboarding documents.
  26. Finalizing onboarding in the onboarding platform.
  27. I-9 and E-Verify Processes:
  28. Completing Form I-9 for all new hires.
  29. Ensuring receipt of acceptable documents.
  30. Monitoring E-Verify for alerts.
  31. Addressing expiring work authorizations and TNCs.
  32. Using E-Verify Employer Hotline/legal counsel.
  33. General Administrative Support:
  34. Assisting with record keeping, file maintenance, and data entry.
  35. Supporting the business unit with special projects.
  36. Projects/Process Improvements:
  37. Coordinating and leading process improvements, innovative solutions, policy changes, and variations from established policy.
  38. Managing projects and providing overall project support for HR/Recruiting initiatives.
  39. Responding to employee requests promptly and professionally.
  40. Responding to external user/vendor requests promptly and professionally.
  41. Other Duties:
  42. Adhering to Fair Employment Laws, FPI policies, and procedures.
  43. Maintaining a professional image and adhering to FPI Dress Code.
  44. Maintaining professional conduct with colleagues, employees, candidates, clients, and vendors.
  45. Completing required training (Grace Hill, Safety Meetings, etc.).

Minimum Requirements:

  • Minimum 2 years of experience in a similar role.
  • Strong working knowledge of Federal and State employment laws, USCIS regulations, FCRA regulations, HIPAA, and OSHA regulations.
  • Understanding of Form I-9 and E-Verify processes.
  • Strong computer skills (MS Office, Google Suite, Adobe).
  • Intermediate to advanced Excel/Google Sheets experience (formulas, pivot tables).
  • Strong HRIS/ATS experience (UKG/UltiPro preferred).
  • High school diploma or equivalent.
  • Valid driver's license and good driving record.
  • Current motor vehicle insurance.
  • Operable vehicle meeting FPI standards.
  • Proficient in English; bilingual Spanish preferred.
