Position: Back Office Manager (With Optometry Experience)

About the role: Seeking a detail-oriented Back Office Manager well-versed in pre-authorization processes, medical copays, and CPT codes. Essential for managing financial operations, ensuring accurate billing practices, and maintaining efficient filing systems.
Key responsibilities:
- Leadership and Supervision: Build, oversee, and manage the Billing and Filing Department. Train, mentor, and evaluate staff. Delegate tasks and set deadlines. Conduct performance appraisals.
- Operational and Back-Office Management: Develop and implement best practices for billing, filing, and back-office processes. Create and enforce SOPs. Oversee patient records, insurance claims, and financial documents. Conduct audits and risk assessments. Optimize document management. Identify and implement automation opportunities.
- Core Billing and Filing Functions: File insurance for medical and vision. Handle claim submissions electronically and on paper. Process orders for glasses and contacts. Final auditing of daily invoices. Manage insurance payment postings. Oversee insurance check deposits. Manage follow-ups and corrections for rejected medical claims. Direct insurance appeals. Coordinate benefits between medical and vision insurances.
- Revenue Management: Manage accounts receivable, auditing for accuracy. Develop and execute strategies to increase revenue streams.
- Customer Service and Communication: Manage patient inquiries about statements. Facilitate staff training sessions. Produce training material. Communicate updates and feedback to team members.
Metrics for Performance:
- A/R amounts at 30, 60, 90, 120+ days. Goal to maintain under $100k total with zero at 120+ days.
- Write-off amounts relative to client goal.
- Team performance to goals.
Qualifications:
- Bachelor’s degree in healthcare administration, finance, or a related field.
- 5+ years of experience in billing management within a healthcare setting.
- In-depth knowledge of medical billing procedures, CPT coding, and insurance pre-authorization processes.
- Proficiency in using billing software and electronic health record (EHR) systems.
- Experience in training, mentoring, and leading teams.
- Strong analytical skills with a focus on detail and accuracy.
- Excellent communication skills.
