Full-Time Conference Logistics Associate

• Coordinate load-in and load-out logistics, managing trucking schedules and liaising with internal teams, vendors, and the venue.
• Create and manage the buildout crew schedule and oversee the on-site buildout crew.
• Manage shipping and receiving, including domestic and international shipments, inventory, and warehousing.
• Source vendors and suppliers, maintaining vendor relationships and ensuring quality control.
• Develop, maintain, and reconcile conference budgets and vendor invoices.
• Ensure projects are delivered efficiently, providing updates and maintaining event databases.
• Complete operational and administrative functions.

• Degree or diploma in event management, project management, or similar experience.
• Experience in contract negotiation and vendor management.
• 5+ years of direct event experience.
• Strong analytical, strategic planning, and problem-solving skills.
• Proficiency in Microsoft Office, Google Docs, and Airtable.
