Hiring need: Data Entry Specialist
Hours per week: 40
Expected Work Schedule: 6 days a week, Monday to Friday, 9:00 AM to 6:00 PM PST
Time zone needed: PST
Holiday Adherence (UAE/UK/US/PH): US
PTO Entitlement: 14 days
Role Overview: Legal Data & Automation Specialist. This role optimizes document management, automates workflows, and ensures client record accuracy in the firm's database. The ideal candidate brings strong organizational skills, attention to detail, and the ability to streamline legal processes through automation and data management.
Key Responsibilities:
- Develop and maintain reports to track case progress and documentation status (Automations & Reporting)
- Organize, digitize, and maintain legal documents, ensuring accuracy in client records (Database Management)
- Create standard operating procedures (SOPs) for improved efficiency in legal processes (Workflow Optimization)
- Build and manage tracking systems to monitor case files and key legal documentation (Tracker Development)
- Verify and update client records, ensuring consistency across all platforms (Data Accuracy)
- Assist in migrating communication and document-sharing processes to Slack (Technology & Communication Integration)
- Retrieve, format, and manage client information for legal teams (Attorney Support)
Immediate Priorities (Week 1):
- Gain proficiency in the firm's database and document management tools
- Organize and digitize backlogged case files for accurate data entry
- Collaborate with the legal team to understand documentation requirements and workflow processes
Requirements:
- 2+ years of experience in data operations, focusing on automation and process optimization
- Proficiency in data management tools and automation platforms (e.g., Microsoft Excel, Google Sheets, CRMs, Python, SQL, Zapier, or similar workflow automation tools)
- Exceptional attention to detail and ability to manage sensitive data with strict confidentiality
- Strong organizational and multitasking skills, meeting deadlines in fast-paced environments
Preferred:
- Experience in a legal, administrative, or compliance-driven setting
- Familiarity with legal terminology or prior work in a law firm
- Knowledge of case management systems like Clio or similar platforms
