Documentation Specialist

Job Duties:

  • Create and generate electronic forms requesting patient documents from physicians.
  • Collect and manage patient eligibility documents (e.g., prescriptions, certificates of medical necessity, letters of medical necessity, prior authorizations).
  • Contact doctor offices to collect necessary documentation (e.g., prescriptions, certificates of medical necessity, clinical notes, lab results).
  • Contact insurance companies to collect approved prior-authorization requests.
  • Escalate recurring problems to management.
  • Maintain consistent attendance and flexibility.
  • Understand and follow Medicare, Medicaid, HIPAA, and Private Insurance regulations.
  • Plan and organize work effectively.
  • Meet productivity requirements.
  • Promote a team-oriented environment.
  • Participate in continuous quality improvement.
  • Represent the organization professionally.
  • Serve as backup to the Customer Service department for customer concerns.
  • Analyze documentation required for billing services and ensure compliance.
  • Resolve pending revenue by reconciling documentation and charges.
  • Collaborate with physician offices and AdaptHealth staff for timely documentation.
  • Identify trends and provide feedback on compliant documentation requirements.
  • Request authorization from state Medicaid programs.
  • Maintain and update physician databases for accurate billing documentation.

  • Excellent verbal and written communication skills.
  • Strong customer service skills.
  • Proficient computer skills and knowledge of Microsoft Office.
  • Ability to prioritize and manage multiple tasks.

Requirements:

  • High School Diploma or equivalent
  • 1 year of work-related experience in healthcare administration, finance, insurance, claims, billing, call center, or management (any industry)
  • Senior level requires 2 years of work-related experience and 1 year of exact job experience.
  • Exact job experience includes tasks in a Medicare certified HME, Diabetic, Pharmacy, or home medical supplies environment that routinely bills insurance.
