Process Excellence Lead (PEL) Travel & Expense
To make Smiths Group and its employees more productive, Finance is continuously seeking ways to standardize and automate business processes, integrating them into a shared service environment.
Smiths Group operates a process excellence model at a Group level in a shared service environment. This model identifies leading practices and applies them across divisions. This includes training, guidance, and the development of common processes and systems, tailored to specific functions and business areas.
Finance Excellence partners with executive sponsors to define, scope, and implement processes and solutions to support their initiatives, ensuring solutions benefit using divisions.
Currently, activities involve Finance (T&E, Accounts Payable), HR, and Operations.
The Process Excellence Lead role supports the GPO in defining, aligning, and governing a global T&E process.
This includes defining policies, processes, desktop procedures, controls, performance measures, roles & responsibilities, and training materials.
The PEL supports the GPO in determining the data and automation roadmap, collaborating with a solution owner for key technologies within BIS.
The role also governs and executes this process, working with stakeholders (Finance Excellence, business counterparts, and 3rd parties) to shape, deliver, and sustain the initiative.
The Process Excellence Lead reports to the Global Process Manager Finance within the GPO organization.
Specific Duties, Activities and Responsibilities:
- End-to-End Process Definition: Drive the T&E process scope and end-to-end processes, defining controls, documenting standards, and integrating good/best practices. Focus includes Expense claim processing efficiency & compliance, T&E auditing, and T&E dashboards.
- Business Engagement: Engage stakeholders to understand current pain points and areas for improvement.
- Lean Process Improvement: Analyze current processes and identify improvement and streamlining opportunities.
- Digital Experience: Explore automation possibilities to enhance user experience, self-service capabilities, and process efficiency.
- Documentation and Standards: Create and maintain process documentation, process mapping, policies, controls, and desktop procedures.
- Implementation: Support the implementation of consistent processes, collaborating with divisional leads to execute.
- Governance: Drive compliance and establish metrics and review forums to manage process performance.
- Implement processes and controls to manage change requests.
- Identify and propose corrective action to resolve divergences from standard process.
Technical Knowledge, Skills and Abilities:
- Strong understanding of the operational T&E cycle.
- SAP Concur experience is essential.
- SAP Ariba experience is preferred.
- SAP Signavio or other business process mapping knowledge is advantageous.
- P-card implementation skills.
Preferred Education, Qualification and Experience:
- University Degree (Masters preferred)
- 5+ years of Travel & expense experience in global business (ideally within Shared Services, Finance, Procurement, or other Finance specialist roles)
- T&E Improvement experience with proven team leadership, change management skills, senior stakeholder engagement, and experience driving policy and process adoption.
- T&E technology experience.
- Strong Finance process understanding across Finance and Procurement (including accounts payable).
- ERP implementation programme experience is beneficial.
- Project Management experience.
- Excellent communication skills (fluent English, multiple languages preferred).
- Data Analytics and ability to leverage insights for improved value.
- Commercial focus and broad business understanding.
