JOB PURPOSE:The Programme Associate will provide both managerial and administrative support for the day-to-day operations of the Gavi CSO Hosting Arrangement. This role is pivotal in ensuring smooth project implementation, supporting administrative and logistics matters; and ensuring compliance with organizational and donor requirements.
PRIMARY RESPONSIBILITIES:
- Programme Support: Provide operational support for the implementation of the Gavi CSO Hosting Arrangement’s work plans and activities, ensuring quality and timely delivery.
- Coordinate meetings, workshops, and events including the preparation of agendas, minutes, and follow-up on action points.
- Facilitate communication and information flow between the Gavi CSO Steering Committee, Secretariat, Gavi Secretariat, and other stakeholders.
- Assist in monitoring progress against work plans, budgets, and deliverables, and escalate issues for timely resolution.
- Maintain the calendar of events, ensure it is updated regularly and inform stakeholders of upcoming events on time.
- Routine administrative work as needed, including ad hoc administrative support to the Director.
- Programme Management Support: Coordinate the operational implementation of planned programme activities, ensuring that timelines, resources, and responsibilities are clearly aligned.
- Monitor activity implementation and report emerging risks, gaps, or dependencies to the Director for timely resolution.
- Assist in the development of internal tools or trackers to improve efficiency and consistency in programme delivery.
- Provide support in documenting lessons learned and process improvements for future reference.
- Compliance and Risk Management: Ensure adherence to Amref Health Africa’s policies, donor regulations, and relevant legal frameworks governing project activities.
- Support risk management activities by identifying, monitoring, and mitigating operational and financial risks.
- Ensure all contractual obligations related to the project are fulfilled and documented accordingly.
Education: Bachelor’s degree required in Business Administration or a related field.
Required Qualifications and Experience: Minimum of three (3) years experience in project coordination or management within international development, health, or working with civil society organizations. Experience working with multi-stakeholder partnerships and donor-funded programs is highly desirable. Familiarity with Gavi policies, procedures, and global health governance frameworks is an asset.
Knowledge, Skills and Abilities:
- Strong organizational and multitasking skills, with acute attention to detail.
- Excellent interpersonal and communication skills, with ability to liaise effectively across diverse teams and stakeholders.
- Proficiency in office software and virtual collaboration tools (e.g., MS Office, Google Workspace, teleconferencing platforms).
- Ability to work under pressure, meet deadlines, and adapt to evolving priorities.
- Demonstrated commitment to transparency, accountability, and ethical standards.
- Proficient spoken and written English; knowledge of French or other languages would be an advantage.
