We’re seeking a highly organized and results-driven Event Content Planner to join our Event Content team.
You’ll work across internal teams to produce global B2B conferences and events (in-person, hybrid, and virtual). These events serve audiences ranging from 50 to 20,000+ attendees.
Reporting to an Event Manager, you’ll own critical content and logistics tasks, collaborating with internal stakeholders, program committees, speakers, and sponsors to ensure exceptional event delivery.
What You Will Work On
- Orchestrate program committees and stakeholders to manage deliverables (Call for Papers (CFP), session scheduling, presentation reviews, and onsite logistics).
- Drive regular communication with stakeholders and committees to align on needs, goals, and specifications.
- Create and manage conference CFPs using Sessionize for 15+ events annually (system setup, reviewer assignments, messaging, and website updates).
- Coordinate communications with speakers, program committees, and reviewers; host calls and meetings as needed.
- Oversee project plans, schedules, and reporting for content programs, ensuring deadlines are met and submission statuses are updated.
- Lead speaker communications (managing speaker inboxes, addressing inquiries related to CFP submissions, scheduling, and logistics).
- Prepare and maintain conference schedules in scheduling tools while managing speaker logistics (notifications, bios, headshots, co-speaker coordination, and schedule updates).
- Proofread and edit event materials (websites, signage, and speaker guides), ensuring content accuracy and consistency.
- Manage keynote programs onsite at up to 15 conferences annually, collaborating with speakers, emcees, and AV teams (setup to teardown).
- Support virtual event platforms by managing speaker-related content, pre-recorded talks, and quality control checks.
- Partner with cross-functional teams to ensure successful event execution aligned with goals and objectives.
- Develop and refine event processes, documentation, and timelines.
- Provide onsite support for events, including overseeing pre-planning responsibilities and handling additional tasks.
- Regular domestic and international travel, including weekends, is required.
Experience: 4+ years in event content management with a strong focus on technical production, virtual platforms, and event apps.
Skills: Proficiency in Google Workspace, WordPress, Adobe products, Sessionize, Asana, Sched.com, and Cvent. Strong aptitude for quickly learning and applying new software.
Communication: Exceptional verbal and written skills with meticulous attention to spelling, grammar, and detail.
Collaboration: Proven ability to build positive relationships with geographically dispersed stakeholders, including technical teams and executives.
Organization: Adept at managing multiple projects simultaneously, setting priorities, and delivering under pressure.
Adaptability: Thrives in fast-paced, dynamic environments with a solution-oriented mindset.
Leadership: Self-motivated and dependable; a collaborative team player with strong strategic thinking and problem-solving abilities.
Flexibility: Availability for early morning/late evening calls across time zones. Ability to travel domestically and internationally up to 12 times per year.
Education: Bachelor’s degree required.
Physical Requirements: Ability to sit or stand for long periods and lift/move up to 40 lbs.

Further Details
- This position requires overnight and weekend travel to events, both domestically and internationally.
- The position is remote and open to applicants who can work North American time zone business hours.
- Salary commensurate with experience: $65,000 - $80,000 USD
