HR Administrative Support

This is a contract position. This is an onsite opportunity in Marlborough, MA. Are you looking for an opportunity to support a dynamic HR Shared Services team? We are seeking an organized and detail-oriented HR Administrative Support professional to assist with various in-office tasks, including handling incoming and outgoing mail, maintaining personnel files, and supporting HR case management.

This role is perfect for someone eager to contribute to HR operations and support a high-functioning team.

Job Responsibilities:

  • Print, sort, fax, and mail paperwork as part of the administrative support process.
  • Open and sort mail and faxes received within HR XPRESS, distributing them to the appropriate area.
  • Log the receipt of all Leaves of Absence (LOA) documentation in the shared email box and update cases in ServiceNow.
  • Upload LOA paperwork and personnel file documents into the document management system.
  • Maintain personnel files for all office and exempt/management associates.
  • Ensure appropriate authorization is obtained for personnel file requests.
  • Prepare personnel file documents for external vendor scanning, audit scanning accuracy, and follow up on missing documents.
  • Mail employment verification forms to the external vendor for completion.
  • Distribute benefit enrollment materials upon request.
  • Print and mail associate discount cards upon request.
  • Perform special projects as assigned by the HR team.

Skills/Requirements:

  • Familiarity with HR systems and case management tools is preferred, but not required.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Ability to manage multiple tasks and meet deadlines.
  • Proficiency in basic computer software packages (e.g., Microsoft Office, ServiceNow).
  • Ability to work independently and as part of a team.
