Job Details
Accounting Specialist is responsible for managing day-to-day financial transactions, including accounts receivable (AR) and accounts payable (AP). Requires attention to detail, strong organizational skills, and the ability to maintain accurate financial records.
Key Responsibilities:
- Prepare and send customer invoices and statements.
- Manage, monitor and follow up on overdue accounts.
- Record cash receipts and apply payments.
- Reconcile AR balances and ensure all transactions are accurately recorded.
- Coordinate with sales and project management to resolve billing issues.
- Process vendor invoices, ensuring accurate coding and approval.
- Review purchase orders, contracts, and payment terms for accuracy.
- Prepare and process payment runs (ACH/Wire/Credit Card).
- Maintain accurate records of AP transactions and ensure timely payments.
- Prepare reports related to AP, including aging and payment schedules.
- Assist with resolving vendor inquiries and disputes.
- Record credit card payments.
- Collect and maintain W-9 forms for compliance.
- Support payroll preparation and processing.
- Support client and vendor onboarding, ensuring accurate setup.
- Ensure PSA system configuration accuracy.
- Assist with month-end and year-end closing processes.
- Provide assistance with audits.
- Maintain and update accounting records.
- Assist with preparation and filing of 1099 forms.
- Ensure compliance with company policies, tax regulations, and accounting standards.
- Assist with special projects.
Requirements:
- Associate's degree in Accounting, Finance, or related field (Bachelor's preferred).
- At least 2 years of experience in AR/AP or general accounting.
- Proficiency in accounting software (e.g., QuickBooks Online).
- Strong knowledge of accounting principles and procedures.
- Excellent attention to detail and organizational skills.
- Ability to handle multiple tasks and prioritize effectively.
- Strong written and verbal communication skills (English).
- Ability to work independently and as part of a team.
Preferred Skills:
- Experience with Microsoft Excel or Google Sheets (advanced functions).
- Familiarity with the accounting and regulatory environment.
- Experience with reconciliation and month-end closing processes.
