Fleet and Heavy Equipment Operations Specialist

Oversees acquisition, operation, maintenance, and compliance of a company’s fleet and heavy equipment.

Ensures all vehicles/machinery are efficiently utilized, properly maintained, and compliant with safety/regulatory standards.

Manages insurance process (policy selection, claims processing).

Leads investigations into vehicle/equipment accidents, ensuring thorough analysis and resolution.

Collaborates with operators, mechanics, vendors, and insurers to optimize fleet operations, minimize downtime, and control costs.

Key Responsibilities:

1. Fleet & Equipment Operations:
• Manages daily operations of fleet vehicles/heavy equipment for efficiency/availability.
• Tracks equipment utilization, performance, and costs for optimized asset lifecycle management.
• Develops/implements preventive maintenance programs to reduce breakdowns and extend equipment lifespan.
• Coordinates repairs/inspections with internal mechanics/external service providers.
• Ensures compliance with all local, state, and federal transportation, safety, and environmental regulations.

2. Insurance & Risk Management:
• Oversees the insurance process for all fleet vehicles/equipment, including policy selection, renewals, and claims.
• Maintains up-to-date records of insurance policies, claims history, and compliance documents.
• Works with insurance providers to file claims, assess damages, and ensure timely resolutions.
• Implements risk management strategies to minimize insurance costs and prevent liabilities.
• Ensures all operators/fleet assets are properly insured and in compliance with company policies.

3. Accident & Incident Investigation:
• Conducts thorough investigations of all vehicle/equipment accidents, incidents, and near-misses from initial report to resolution.
• Gathers/analyzes evidence (operator statements, maintenance records, GPS data, video footage).
• Works with law enforcement, insurance adjusters, and regulatory agencies as needed.
• Identifies root causes/recommends corrective actions to prevent future incidents.
• Prepares detailed investigation reports, including findings, conclusions, and recommendations for safety improvements.
• Implements post-incident training, policy changes, or corrective measures to enhance fleet safety.

4. Compliance & Safety:
• Develops/enforces fleet safety policies and operator training programs.
• Conducts regular audits/inspections to ensure adherence to DOT, OSHA, EPA, and other regulations.
• Monitors fuel usage, emissions, and maintenance logs to ensure environmental compliance.
• Implements/promotes safety awareness initiatives to reduce accidents and operational risks.

5. Procurement & Vendor Management:
• Manages the procurement, leasing, and disposal of fleet vehicles/heavy equipment.
• Negotiates contracts with suppliers, insurers, and service providers to optimize cost-effectiveness.
• Maintains accurate asset records (purchase history, maintenance logs, depreciation reports).
• Recommends fleet upgrades/replacements based on operational data and cost-benefit analysis.
