We are seeking a proactive and detail-oriented Operations Associate to support org-wide and programmatic administrative needs working closely with a diverse global team.
Reporting to the Operations Manager, this role involves streamlining processes, supporting financial report reviews, ensuring smooth logistical coordination for meetings and events, and other administrative and grant management tasks.
The ideal candidate will be bilingual in English and Spanish, and willing to work across different time zones and cultural contexts.
This position provides essential support in project documentation, event coordination, financial management, communications, and general administrative tasks. This role offers the opportunity to work in a dynamic, global team environment while contributing to impactful migration projects.
Key Responsibilities:
Programmatic Support: Support Project Managers with grant management, reviewing and tracking invoices. Review and refine project materials, including bilingual content. Conduct research tasks. Maintain project files.
Financial Management: Support organization-wide financial health by ensuring program budgets and expenses are allocated correctly. Input and track budget details. Gather documentation for financial reporting.
General Administrative Support: Respond to general inquiries. Assist with scheduling meetings across global time zones. Support organizational and funder-related forms. Organize events (invitations, agendas, follow-ups). Organize visa applications.
Human Resources: Assist with recruiting and onboarding staff. Coordinate with payroll platforms on HR changes. Perform initial candidate screening. Update team and consultant information.
Communications: Editing and proofreading communications materials. Managing website and social media.
Experience: 2-4 years in project administration, operations, financial reporting, or related roles.
Skills: Fluency in English and Spanish (written and spoken). Strong organizational and communication skills. Proficiency in Microsoft Office Suite.
Flexibility: Willingness to work irregular hours.
Location: Remote position in the Americas.
Compensation: USD 45,000-65,000 depending on qualifications.
