Job Details

The Operations & Support Services Coordinator plays a vital role, working alongside the Operations team. The role supports workbook orders, invoicing, apprentice recruitment, workshop coordination, and data analysis.

Key Responsibilities:

  • Workbook Ordering: Supports processing and tracking of workbook orders for learners, maintaining accurate records and responding to queries. Builds relationships with Delivery Teams.
  • Invoicing: Assists with invoice preparation, processing, reconciliation, and liaises with the finance team to resolve discrepancies, maintaining a log for auditing.
  • Recruitment: Manages the advertisement and promotion of employer vacancies on the Government’s ‘Recruit an Apprentice’ site. Builds relationships with Client Success Team and external employers, reviews candidates, and tracks recruitment progress.
  • Workshop Coordination: Manages workshop inbox, responding to queries and scheduling learners. Supports workshop delivery, including communication, cancellations, and logistical arrangements. Builds relationships with Tutors.
  • Data Analysis and Reporting: Compiles, analyses, and presents data reports to support strategic planning and operational improvements.
  • Operations Inbox: Manages the Operations inbox, responding and actioning queries.
  • Miscellaneous: Represents Davies Professional Education at external events and meetings, supports other internal teams, and builds relationships across Davies.

Skills, Knowledge & Expertise:

  • Understanding of Department for Education/ESFA funding regulations
  • Understanding of vocational qualifications (Apprenticeships, Functional Skills)
  • Experience in a regulatory environment
  • Experience working in teams and independently
  • Experience with databases/platforms
  • Strong analytical and decisive abilities
  • Excellent communication (written, verbal, presentation), customer service, administrative, organizational, and IT skills
  • Ability to analyze data and create reports, maintain discretion and confidentiality
  • Experience working remotely, and self-motivated time management
