Support in contract administration: Finalizing inbound services agreements and related scopes of work with new suppliers for SN review. Coordinate with vendors and contractors, routing contracts through e-signature processes and uploading them to internal databases.
Ensure existing and new suppliers, vendors, and contractors are appropriately enrolled and registered in systems like SAP Ariba/Embark, coordinating with Beacon Support to secure approvals, electronic or other signature authorizations, and related record-keeping.
Support opening support tickets (GUTs or other tickets) for payment issues, supplier issues, or vendor payment issues.
Develop an internal contract spreadsheet and information.
Manage portfolio goals, including schedule, coordinate, and attend project meetings as determined by SN. Take detailed meeting minutes and follow up on key action items/issues.
Develop first draft deliverables for PfM review.
Orchestrate timely communications among project team members, identifying, creating, and updating project resources/tools (e.g., QuickBase, Project Tracker, site workbooks, change control logs, risk registers).
Populate draft SOWs, draft funding requests, and facilitate PO creation, coordinating with vendors and processing contracts, including submission of low-value internal approvals.
Administer project documentation and document control systems, including processes for receipt, review, approval, issue, reproduction, distribution, version control, classification, and storage.
