Position Overview: Seeking a proactive and detail-oriented Project Management Assistant to support the Managing Partner and recruiting team. This role coordinates across recruiters, clients, and stakeholders, ensuring efficiency and follow-through in the recruitment cycle.
Key Responsibilities:
- Candidate Coordination: Manage candidate submissions, track recruiter activity, and ensure timely document submission.
- Client Communication: Collect and relay client feedback, follow up to ensure next steps are clear and executed.
- Direct Sourcing: Assist in sourcing qualified candidates for urgent/high-priority roles, using internal tools.
- Scheduling Support: Coordinate interviews, manage calendars, and confirm appointments.
- ATS Management: Update and maintain the Applicant Tracking System, accurately recording candidate status, notes, and communications.
- Internal Workflow Optimization: Act as a communication bridge between recruiters and leadership to flag delays, clarify expectations, and drive accountability.
- Special Projects: Support other projects as needed.
Qualifications:
- 3+ years in a fast-paced administrative, recruitment, or executive support role.
- Familiarity with ATS platforms and recruiting workflows.
- Strong written and verbal communication skills.
- Excellent organizational and time management skills.
- Ability to handle confidential information.
- Solutions-oriented mindset.
