Mission of the Role
Deliver the ProfitCoach Experience (owning the outcome, ease of doing business, and extraordinary service) to clients through quality assurance reviews, client relationship and account management.
90-Day Outcomes
- Own designated client accounts
- Contribute to new client onboardings
- Be first in line for client calls and relationship management
- Perform bank reconciliation and trust accounting clean-up
- Communicate time estimates and progress updates
- Coordinate team assistance
- Be a resource for trust accounting questions
Key Responsibilities
Internal Tasks:
- Company and departmental meetings
- Internal email correspondence
- Skill development reading
- Daily task planning
- Task-by-task time tracking
Trust Accounting Specialist functions:
- People: Train team on processes, monitor team performance.
- Process: Understand new functions, define processes, and train team.
- Client relationships: Lead and participate in new client onboardings, client meetings, and email correspondence. Formalize communication cadences (ProfitCoach Retreat, Holiday Hours, PTO).
- Financials: Review and own financial statements (reconciliation review, reports, crosschecks).
- Accounting functions: Bank reconciliation, financial diagnostics, billing, payment processing, owner statement processing, security deposit processing, and other tasks.
Skills & Responsibilities
- Manage client relationships, oversee service execution
- Advanced problem-solving
- Write, improve, and train on trust accounting processes
- Bookkeeping experience (accuracy, timeliness, efficiency)
- Excellent verbal/written communication
- Proficient with Microsoft Excel
- Define and document new processes
- Read and analyze financial statements
- Master new cloud-based software (AppFolio, RentVine preferred)
