This position is a remote position!
The ATS & Onboarding Specialist will own system administration responsibilities for the Applicant Tracking System (ATS). This role also takes ownership of the post-offer letter onboarding process, supporting the candidate-to-employee journey of new hires.
- Oversee and maintain optimal function of ATS and Onboarding systems, including customization and maintenance.
- Provide technical support, troubleshooting, and guidance to ATS users, employees, and applicants.
- Create and maintain training materials for ATS and Onboarding systems and train new and existing HR users.
- Collaborate with IT to identify system improvements and enhancements related to integration processes.
- Manage permissions, access, and settings for users within ATS.
- Run and maintain data reports for leadership/TA/HR/IT, including EEO/AAP-related regulatory reports and audits.
- Ensure EEO/AAP compliance within ATS and partner with the EEO Coordinator for trainings.
- Be involved in ATS-related project(s), and advise as a subject matter expert.
- Responsible for the onboarding journey of new RRD employees, from sending offer letters, setting up background checks, and collecting personal documentation.
- Run weekly/bi-weekly orientations, educating new hires and providing clear next-step instructions.
- Collect and maintain all employee personal documentation, and upload it to appropriate systems.
- Collaborate with Hiring Managers on their new hires onboarding.
- Other ad hoc project/tasks/reports as required.
Requirements
- Bachelor's degree in HR, Business, or Information Systems
- Minimum 2 years experience in an HR administrative function
- Minimum 1 year of recruiting coordination/onboarding experience
- Prior experience with ATS administration (SmartRecruiters, PeopleSoft, SilkRoad preferred)
- Experience with reporting through an ATS or other HRIS systems
- Intermediate skills with MS Excel/Google Sheets (pivot tables, VLOOKUP)
- Well-organized with strong communication skills, detail-oriented, and ability to juggle multiple tasks
Salary: $60,700 - $105,200/year
(May adjust based on location and may change in future. Not typical to be hired at top of range.)
