Job Details

Purpose: The Clinical Documentation Specialist obtains clinical and client paperwork to complete the sale and secure funding for Speech Generating Devices. Requires communication with Speech Language Pathologists, Clients, Care Providers, and Prescribers. Experience with medical documentation, customer service, HIPAA, and electronic paperwork filing is ideal.

Essential Duties & Responsibilities:
  • Guides and trains Speech Language Pathologists (SLPs) in using Lingraphica’s Smart Paperwork Portal.
  • Assists and guides SLPs during the paperwork process via email, phone, video conferencing, and other modalities.
  • Guides Care Partners and trains them in using Lingraphica's Self Service User Portal.
  • Drives movement within the post-trial pipeline, removing barriers and ensuring timely progression.
  • Monitors pending paperwork to prevent sales delays, escalating when necessary.
  • Obtains medical records and prescriptions from Prescribers.
  • Audits completed documentation for thorough and accurate information in compliance with medical necessity guidelines.
  • Maintains accuracy of client records within CRM (HubSpot).
  • Develops and maintains relationships with SLPs and leverages relationship-building techniques with medical professionals/prescribers.
  • Establishes rapport and trust with customers and care providers.
  • Communicates benefits, eligibility, and coverage information clearly.
  • Maintains diligent organization of documents using Adobe and internal software tools.
  • Understands trial procedures and Lingraphica’s products to address questions.
  • Documents activities and correspondence using company’s internal software tools.
  • Collaborates with Sales & Operations teams.
  • Contributes on special projects and other duties as assigned.
  • Tracks performance metrics related to pipeline velocity, turnaround times, conversion rates, and sales goals.
  • Demonstrates urgency and ownership in supporting the sales process.

  • Organized, with the ability to interpret medical documentation.
  • Strong critical thinking and problem-solving skills.

  • Ability to interface with various users across the organization.
Education & Experience:
  • High School Diploma, required. Associate’s or Bachelor’s Degree, preferred.
  • 1-2 years’ experience in customer service or within the healthcare industry.
  • Experience with Adobe, Microsoft Suite, HubSpot (or other CRM), cloud-based phone systems, video meetings (Zoom), & instant messaging systems (Slack), preferred.
