Full-Time Meeting Supervisor

Meeting Supervisor Responsibilities:

1. Manage program logistics (venue, contracts, travel, food, AV, etc.).
2. Develop and distribute registration websites and materials.
3. Ensure high-quality client materials and develop best practices.
4. Produce congress activity decks, coordinating with multiple stakeholders.
5. Review and approve meeting specifications.
6. Provide reports to clients.
7. Attend project briefings and kick-off meetings.
8. Coordinate meeting logistics on-site.
9. Review and reconcile invoices.
10. Prepare accurate attendee spend reports.
11. Maintain ongoing dialog with project team.
12. Negotiate vendor rates and terms.
13. Manage assigned meeting budgets.
14. Identify and implement operational improvements.
15. Provide input to build meeting budgets.
16. Maintain or exceed billable utilization.
17. Demonstrate commitment to DEI.
18. Perform other duties as assigned.

Qualifications:

• Bachelor's degree or 5-8 years experience in a pharmaceutical hospitality role.
• Experience with live, virtual, or hybrid meetings.
• Speaker program management experience.
• Experience with Trade Shows, Conventions, or Congress planning.
• Understanding of show services and budgets.
• Experience managing large group bookings.
• Proficiency with Cvent or similar registration platforms.
• Strong Excel skills.
• Zoom and WebEx experience.
• CMP certification (preferred but not required).
• Willingness to travel (25-30%).
• Preferred location: Central Time Zone.

Compensation:

• Base salary range: $65,000 - $96,500 USD
• Compensation dependent on experience and location
