Senior Talent Acquisition Coordinator
The Senior Talent Acquisition Coordinator supports the talent acquisition process pre-hire and post-hire, acting as an expert resource for Applicant Tracking System (ATS), candidate management, training, and advice. Handles daily inquiries.
Work Location: Remote for candidates in the US only.
Work Arrangement: Remote, aligned to EST shift.
Specific Needs: Must be comfortable supporting executive-level positions, client-facing interactions, and working independently.
Responsibilities
- Logistics:
- Handles complex recruitment and scheduling with hiring managers and candidates.
- Manages the offer process (creating and routing offer letters).
- Leads discussions with Hiring Managers as needed.
- Coordinates background, drug, and reference checks.
- Arranges travel, transportation, and accommodations.
- Coordinates onboarding and offboarding processes.
- Provides administrative support to Recruiters.
- Researches and coordinates vendor processes for vendor identification and approval.
- Assists with purchase order requests and project proposals.
- Acts as point of contact for vendor communications (start/end dates, extensions, replacements).
- Candidate Management and Application Tracking Systems (ATS) Management
- Drafts, edits, and posts positions in ATS accurately and within timeframes, with approvals.
- Ensures candidates follow ATS workflows.
- Sends and collects responses through new hire and applicant surveys.
- Assists with ATS administration, optimization, and use.
- Creates and manages basic metrics reporting.
- Recruitment Marketing
- Creates and implements recruitment marketing plans and strategy.
- Utilizes software for mobile and email campaigns.
- Tracks job posting information.
- Posts positions to external resources (job boards, social networking sites, etc.).
- Manages vendor relationships.
- Process Improvement
- Provides best practices and process improvements throughout the talent acquisition cycle.
- Documents process changes (process maps, team structure charts, detailed procedures).
- Identifies and troubleshoots issues, escalating when needed.
- Identifies opportunities to improve client and candidate experience, and scheduling efficiency, and provides process recommendations for operational excellence.
- Tracks, reports, and provides feedback on vendor performance.
- Troubleshoots vendor problems and presents to management.
- Performs other duties as assigned.
Education: High school diploma or equivalent required. Bachelor's degree preferred.
Experience: 3+ years' experience in a business or office environment, with HR/talent acquisition experience preferred.
Functional/Technical Knowledge, Skills and Abilities Required
- Knowledge of talent acquisition concepts and procedures preferred.
- Demonstrated success with Applicant Tracking Systems (ATS) and reporting.
- Basic analytical skills for assessing and presenting data.
- Proficiency with Microsoft Office Suite (including Outlook).
