Job Details
We are looking for a professional, qualified and enthusiastic individual for a full-time Administrator, Office Management position in Brazil.
Ideal candidate will be fast-thinking, adept at multitasking and serve as the company's main point of contact.
Responsibilities include:
- Primary contact for accounting and administrative matters for Brazilian employees.
- Manage Grant reports for Argentina, Brazil, Chile, Colombia, Mexico, and Peru; prepare and upload them; coordinate grant invoice issuance for the region.
- Manage administrative tasks: meetings, events, travel bookings, calendar management, and minutes.
- Office management: purchasing supplies, coordinating maintenance/repairs, and vendor liaison.
- Liaise with internal and external stakeholders for building and facility management.
- Prepare Accounts Payable lists for external accounting, following corporate rules.
- Enter payments on banking websites and coordinate approvals (vendors, employee expenses, benefits, taxes, payroll, regulatory).
- Send remittances/proof of payments to vendors and employees.
- Cash planning: reconcile monthly bank statements and manage corporate credit cards.
- Provide support on monthly G&A accruals, General Ledger reconciliations, accounting matters, and corporate reporting rules; and annual budget process (as needed).
- Out of Pocket expenses: prepare and upload reports, coordinate invoice issuance, reconcile expenses, calculate accruals, and liaise with the OOP global department.
Requirements:
- Strong proficiency in Spanish and Portuguese.
- Intermediate English proficiency.
- Basic accounting and administrative experience.
- Previous international experience is a plus.
- Bachelor's degree (or in progress) in Finance or Accounting.
- SAP knowledge is preferred.
- Excellent communication and organizational skills.
- Problem-solving skills and proactive approach.
- Trustworthy, discreet and able to handle confidential information.
- Proficiency in MS Office (Word, Excel, PowerPoint).
