Full-Time Fleet & Equipment Ops Specialist

Fleet and Heavy Equipment Operations Specialist is responsible for overseeing acquisition, operation, maintenance, and compliance of a company's fleet and heavy equipment. Ensures all vehicles and machinery are efficiently utilized, properly maintained, and compliant with safety and regulatory standards.

Manages insurance process from policy selection to claims processing. Leads investigations into vehicle and equipment accidents/incidents, ensuring thorough analysis and resolution.

Collaboration with operators, mechanics, vendors, and insurers is essential for optimizing fleet operations, minimizing downtime, and controlling costs.

1. Fleet & Equipment Operations
• Manage daily operations of fleet vehicles and heavy equipment to ensure efficiency and availability.
• Track equipment utilization, performance, and costs to optimize asset lifecycle management.
• Develop and implement preventive maintenance programs to reduce breakdowns and extend equipment lifespan.
• Coordinate repairs and inspections with internal/external service providers.
• Ensure compliance with transportation, safety, and environmental regulations.

2. Insurance & Risk Management
• Oversee insurance process for all fleet vehicles and equipment (policy selection, renewals, and claims).
• Maintain records of insurance policies, claims history, and compliance documents.
• Work with insurance providers to file claims, assess damages, and ensure timely resolutions.
• Implement risk management strategies to minimize costs and prevent liabilities.
• Ensure all operators and fleet assets are properly insured and compliant.

3. Accident & Incident Investigation
• Conduct thorough investigations of vehicle/equipment accidents, incidents, and near-misses.
• Gather and analyze evidence (operator statements, maintenance records, GPS data, video footage).
• Work with law enforcement, insurance adjusters, and regulatory agencies.
• Identify root causes and recommend corrective actions.
• Prepare detailed investigation reports.
• Implement post-incident training, policy changes, or corrective measures.

4. Compliance & Safety
• Develop and enforce fleet safety policies and operator training programs.
• Conduct regular audits/inspections for compliance with DOT, OSHA, EPA, etc.
• Monitor fuel usage, emissions, and maintenance logs to ensure environmental compliance.
• Promote safety awareness initiatives.

5. Procurement & Vendor Management
• Manage procurement, leasing, and disposal of fleet vehicles/equipment.
• Negotiate contracts with suppliers, insurers, and service providers.
• Maintain accurate asset records.
• Recommend fleet upgrades or replacements based on data and cost-benefit analysis.
