We are seeking a dynamic, remote Legal Administrative Assistant to join a team.Schedule: Friday - Monday, 8:00 a.m. - 6:30 p.m. Pacific Time.
As a Document Processor/Administrative Support Specialist, you will provide real-time assistance to clients on your designated shift.
You will work with a team across multiple locations and shifts to provide high-level customer service and quality.
Responsibilities Include:
- Proofreading complex legal documents for style, consistency, spelling, syntax, punctuation, and grammar (using The Chicago Manual of Style, The Bluebook, and the California Style Manual).
- Performing word-for-word reading of converted documents to ensure accuracy.
- Performing cross-reference checks and defined term checks.
- Reviewing tables of authorities as requested.
- Checking corrected proofs against markup for accuracy.
- Checking formatting for consistency and adherence to client specifications.
- Creating, editing, and formatting legal documents to firm specifications using various software applications.
- Converting, cleaning, and formatting documents to/from different file formats.
- Creating charts, graphs, tables, and spreadsheets.
- Creating and/or editing Tables of Authorities and Table of Contents.
- Performing data entry utilizing various software applications.
- Transcribing digital dictation files.
- Restoring/recovering corrupted document files.
- Completing all assigned jobs by deadline accurately and timely.
- Following established policies and procedures.
- Performing additional duties as assigned, including, but not limited to: Research, Cite checking, File sharing, Court/agency filings, Time entry, Scheduling assistance, Pleadings and discovery indexing, New business intake, File management, Conference/CLE registration, Troubleshooting/customer questions, Special projects.
Qualifications
- High school diploma or equivalent; bachelor's degree preferred.
- 5+ years' experience in legal administrative assistant or paralegal roles preferred.
- Strong knowledge of MS Office programs (Word, Outlook, Excel, PowerPoint).
- Experience in legal word processing tasks (proofreading, creating TOAs and TOCs, inserting automated cross-references, converting PDFs to Word, applying Word styles using macros, troubleshooting problem documents) preferred.
- Ability to work through complex legal document markups and instructions accurately and timely.
- Prioritization of various requests and deadlines simultaneously.
- Strong written and verbal communication skills, including proficiency in English grammar, spelling, and punctuation.
- Proven ability to perform complex work under strict deadlines.
