Logistics Instant Execution Coordinator
Summary: Responsible for optimal (cost-effective, timely, quality service...) execution of assigned instant coffee shipments/deliveries from origin to destination. Work closely with head office, shippers, clients, and service providers (banks, shipping lines, warehouses, forwarders, local agents).
Responsibilities:
- Inbound: Work with traders on position follow-up and any commercial issues with shippers. Send shipping instructions to shippers in due time. Place bookings with shipping lines and ensure internal database (SOL/Cargoo) accuracy. Follow-up on sample results and update internal database. Process shipping documents (including upload) and payment to shippers. Issue landing instructions to warehouses. Issue and follow-up on potential Weight Claims. Liaise with shippers, partners, and clients to deliver best service. Check assigned service invoices to approve costs. Check stocks in assigned warehouses monthly and report.
- Client Support (Outbound): Issue logistics documents (invoices, release documents, cover letters...). Instruct/ensure upload of related external documents. Work closely with Sales and external partners to anticipate execution challenges and advise on solutions. Advise Sales team on logistic costs and any other logistic aspect of a sales project. Support head office with management innovation projects and contribute to logistics strategy through new ideas and feedback.
Qualifications and Education: University graduate (BA or equivalent). Focus/major in Foreign Trade, Commodity Trading, or Logistics is a plus. Other certifications are a plus.
Experience and Technical Skills: At least 2 years working experience. Experience in an international environment related to trade/supply chain/logistics. Experience in coffee trade logistics is a plus. Experience in Customer Service is a plus. Knowledge/practical experience in SAP (compulsory). Good knowledge of Excel, Word, Outlook. Knowledge of collaborative tools (MS Teams, SharePoint...). Knowledge of PowerBI is a plus.
Soft skills: Good business acumen, communication skills, organizational skills (prioritization, planning, deadlines), interpersonal skills, teamwork, ability to work under stress, high autonomy/self-discipline, proactiveness, curiosity, and ability to learn new challenges. Excellent verbal and written communication skills in English. Knowledge of any other language (French) is a plus.
