Job Details

Executive Assistant

Provides administrative support to one or more executives.

  • Coordinates diaries, prepares meeting materials.
  • Organizes and manages data, liaises with other departments.
  • Maintains confidentiality, and communicates effectively.
  • Coordinates closely with executives to maintain their diaries, aligning with preferences and priorities.
  • Structures and prioritizes administrative tasks, including key events and travel plans.
  • Creates and maintains reports, spreadsheets, distribution lists, email groups, and other documents.
  • Arranges domestic and international travel (airline, hotel, car rentals, train tickets).
  • Collaborates with all levels, develops networks with peers and external professionals.
  • Prepares and coordinates presentations.
  • Assists in staging virtual and in-person events.
  • Oversees correspondences, sorts emails based on priorities.
  • Prepares and submits executive expense reports.
  • Conducts research and data gathering.
  • Processes expenses and invoices.
  • Processes purchase requests, purchase orders, and invoice coding.
  • Coordinates accounts payable.
  • Maintains and organizes documents in SharePoint and Teams.
  • Assists in office activities (e.g., events).
  • Completes tasks independently with moderate guidance.
  • Performs related projects and duties.
  • Required Experience: Night shift schedule (9pm-6am MNL time, Monday to Friday). Bachelor's degree or 3 years of experience in the same industry. MS 365 experience (Word, Excel, Outlook, PowerPoint).
  • Skills Required: Highly motivated, fast-paced environment, strong interpersonal, organizational, and communication skills. Attention to detail, accurate documentation. Proven verbal and written communication skills. Experience drafting reports, managing multiple demands and deadlines. Experience working with a global team, and administrative/vendor support functions.
