Work Arrangement: Remote, with flexibility to handle urgent tasks outside regular working hours.

Role OverviewThe Business Assistant will support the Sales & Marketing teams by managing day-to-day tasks, ensuring seamless operations, and driving strategic initiatives to completion. They will act as the right hand to senior leaders, handling both administrative and project management responsibilities.
Key Responsibilities
- Scheduling & Meeting Organization: Organize meetings, schedule across multiple time zones, send reminders, prepare materials (agendas, sales reports). Coordinate in-person events (client meetings, trade shows), including catering and venue arrangements. Manage travel bookings (flights, accommodations, itineraries).
- Communication & Documentation: Draft, edit, manage client-facing emails, prepare sales presentations, pitch decks, marketing collateral. Assist in creating and distributing marketing materials (newsletters, social media posts, event invitations).
- Sales & Marketing Support: Manage CRM systems (Salesforce/HubSpot), update client info, track sales leads, generate reports. Support marketing campaigns, coordinate timelines, track deliverables, meet deadlines. Assist with event planning, registration management, follow-up communications. Conduct client research, create briefing documents.
- Administrative & Data Management: Organize and maintain sales and marketing data (campaign metrics, customer feedback, sales pipeline updates). Coordinate tools (Slack, G-suite, Canva, Zoom). Provide support on ad hoc tasks (market research, competitor analysis, client proposals).
Immediate Tasks (Week 1)
- Manage leadership team's schedule and calendar.
- Organize internal and external meetings (agendas, minutes, follow-ups).
- Coordinate travel logistics.
- Manage communication channels and draft responses.
- Familiarize with company tools (Slack, G-suite, Salesforce, Notion, Airtable).
