Key Responsibilities:
Document Drafting & Contract Management:Draft, review, and send contracts. Maintain and update contract templates. Coordinate contract execution and follow-ups.Employee Onboarding & Technical Support:Manage employee onboarding, including account creation and technical setup. Provide technical support, troubleshoot issues, and ensure smooth software operation.Team Alignment & Administrative Support:Oversee team alignment. Track weekly/monthly work reports. Support G-workspace administration, including account management, permissions, and system maintenance. Conduct research to support projects.Vendor & External Communication:Communicate with external providers. Coordinate service delivery. Arrange online meetings to discuss services, resolve issues, or clarify details. Send and follow up on email correspondence.Process Improvement & Undefined Tasks:Proactively identify and resolve operational issues. Regularly review internal processes for improvements.Calendar Management & Event Coordination:Manage and coordinate executive team's calendar, scheduling meetings. Arrange team meals, workspace bookings, and events. Organize and send gifts.Creative & Design Support:Assist in designing and updating the company handbook. Collaborate on brainstorming sessions.General Administrative Duties:Handle various administrative tasks, including filing, document management, and maintaining an organized workspace. Assist with various tasks as needed.
Skills & Experience:Proven experience as an executive assistant or similar role. Strong proficiency in G-workspace and other productivity tools. Strong English proficiency, excellent communication skills. Strong organizational and time-management skills. Ability to prioritize, manage multiple tasks, work independently, and maintain confidentiality. Creative problem-solving and process improvement skills.
