Job Details
Duties and Responsibilities:
- Schedule appointments for PIV card activations, enrollments, certificate updates and PIN resets.
- Answer phone calls and email inquiries related to PIV credentials and access control.
- Coordinate and conduct PIV card enrollment, verifying applicant identity and collecting required documents.
- Manage appointments efficiently and accurately.
Documentation and Data Collection:
- Accurately collect personal information, biometric data (fingerprints), and other details.
- Ensure all documents are completed and submitted according to guidelines.
Verification and Authentication:
- Verify the authenticity of documents and information to prevent fraud.
- Use approved methods to verify applicant identity.
Data Security and Privacy:
- Handle sensitive information with discretion, adhering to data protection regulations and security protocols.
- Maintain data security and integrity, preventing unauthorized access.
Communication:
- Communicate clearly and professionally with applicants.
- Explain enrollment process, required documents, and steps.
- Provide excellent customer service, addressing questions and concerns.
- Manage customer concerns calmly and professionally.
Recordkeeping:
- Maintain accurate records of applicant information, enrollment date, and issues.
- Prepare and maintain spreadsheets tracking applicant, contractor, and federal employee files.
Compliance and Training:
- Stay updated on relevant policies, regulations, and procedures.
- Participate in training sessions to enhance knowledge.
Required Competencies:
- Experience with Microsoft Excel for data management.
- Ability to adapt to changing security procedures.
- Prior customer service or administrative experience is beneficial.
- Attention to detail and strong organizational skills.
- Excellent interpersonal and communication skills.
- Ability to handle confidential information discreetly.
- Attend local hiring events 3-4 times per month.
- Perform other job-related duties.
Education:
- High School diploma or GED.
Physical Requirements:
- Sedentary work with occasional stair climbing, standing, and walking.
- Occasional lifting up to 25-30 lbs.
- Requires typing and effective communication.
Clearance Requirement:
- US Citizenship required.
- Active Public Trust/MBI clearance or ability to obtain one.
Starting Salary Range: $37,500-$44,600 (depending on experience)
