We are seeking a Portal Collections Manager to join our Finance team. This is a unique opportunity for an entrepreneurial, highly driven person with a well-rounded skill set and whose responsibilities extend beyond those of traditional collections roles.
The ideal candidate needs a strong grasp of accounts receivable and the collections process related to customer portals. They must be flexible, strategic, and able to take on various tasks.
This role will play a critical role in managing accounts receivable with a focus on portal collections. The role is responsible for:
- Ensuring timely and accurate uploading of invoices, appeals/disputes, and payments received through various online portals.
- Maintaining a complete understanding of portal payment systems.
- Demonstrating exceptional attention to detail and strong analytical skills.
- Managing a diverse remote team.
- Managing all aspects of the portal collections team.
Responsibilities also include:
- Supporting the collection process of outstanding invoices using best practices.
- Gaining and maintaining a complete understanding of all elements, systems, tools, problems, etc., within the portal collections department.
- Managing and documenting all processes and creating policies, training guides, etc.
- Updating the accounts receivable portal spreadsheet daily.
- Analyzing weekly reports and using V lookup to add invoice data.
- Managing appeals/deductions
- Managing portal write-offs accurately and timely.
- Reconciling payments received through online portals.
- Preparing weekly portal status reports.
- Reconciling portal payments with invoices, resolving discrepancies.
- Providing exceptional customer service to internal and external stakeholders.
- Maintaining a complete understanding of all portal activity, team productivity, and problems.
- Acting as a change agent for the portal collections department.
- Taking ownership of process changes and problem resolution.
- Managing team performance, setting goals, and conducting performance reviews.
- Interacting with the portal collections team, project managers, leadership, and business development team.
- Setting and monitoring collections team performance targets.
Required Qualifications include:
- At least 3 years' experience managing a collections team.
- Experience working with ERP's (Microsoft D365, SAP, Oracle, etc.).
- Knowledge of portal billing procedures and collection techniques.
- Intermediate knowledge of MS Office, databases, and online payment portals.
- Intermediate knowledge of pivot tables and V lookups.
- Experience using portal payment platforms and accounting software.
- Strong analytical skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work in a fast-paced, deadline-driven environment.
- Ability to work independently and collaborate with cross-functional teams.
Preferred Qualifications include:
- Associate's degree or above in accounting, Finance, or a related field.
- Experience with LegalX, TyMetrix 360 portals
- Experience with Microsoft D365
Salary: $80,000 - $100,000 per year.
